Deleted a OneDrive file? Where to look before giving up

An empty folder does not always mean your documents are gone. You may have opened a different account, moved a file or deleted an item that was synchronised. Before trying multiple fixes, write down the document’s name, usual location and the last time you used it.

1. Make sure you are looking in the right place

Open OneDrive through its official website and check which account is signed in. A personal account and a work account can contain very different folders. Search for part of the filename and check recent documents. If somebody shared the folder with you, ask whether they moved it or changed its sharing permissions.

2. Check the online recycle bin

In OneDrive, open Recycle bin, select the missing file and choose Restore. Microsoft lists a 30-day retention period for personal accounts; work and school accounts have different rules. An online-only file may not appear in your computer’s recycle bin. Follow Microsoft’s OneDrive recovery instructions for your account type.

Avoid emptying any recycle bin while you are searching. Once you recover the document, open it to check that it is the correct copy, then keep an independent copy of your important work.

3. The file is there, but its contents have changed

Recovering a deleted file is different from retrieving an earlier version. In the latter case, look for the document’s version history rather than deleting it. Save a copy of the current version before replacing it: you may still want to keep some of its recent changes.

4. Understand what synchronisation does

Synchronisation also propagates deletions. Removing a document from the OneDrive folder may remove it from your online storage and other synchronised devices. To free up local space without deleting the cloud copy, review OneDrive Files On-Demand instead of pressing Delete.

Keep an independent copy

For irreplaceable documents, plan a copy separate from your working folder. Decide what you need to keep, how often and for how long. Then try retrieving one document without changing the original. It is a practical check of your backup routine.

Synchronisation, backup and recovery serve different needs. Browse backup and recovery software, checking the features of the exact edition. Buying software does not guarantee that an already lost file can be recovered.
