Installing Microsoft 365: choose the right account before using a key

Your software has arrived and you want to get started. Before entering a key, check the exact offer name and the account you plan to use. Choosing the wrong account can make a later reinstall or renewal more difficult.

Identify your situation

  • First activation of a consumer product: the process may link a key to your personal Microsoft account.
  • Reinstallation: the product may already belong to an account you need to recover.
  • Work or school licence: an administrator may assign and manage the installation.
  • Renewal: check the existing account and subscription before redeeming another key.

These situations are not interchangeable. Microsoft’s official installation guide distinguishes consumer products, assigned licences and volume licensing.

Five checks before installing

  1. Read the product name, edition, term and device allowance on your order.
  2. Confirm that your PC or Mac meets that edition’s requirements.
  3. Identify the personal, work or school account associated with the product.
  4. Open the official website specified in the publisher’s instructions yourself.
  5. After installation, check the product name and activation status inside the application.

Avoid creating another account simply because you cannot see the product immediately. First check your usual email addresses and purchase records. Never give your password or sign-in codes to somebody offering to activate everything for you.

The message says the key has already been used

In Microsoft’s documented consumer process, this can mean the key has already been redeemed and the product is linked to an account. Reinstallation then uses that account rather than entering the same key again. Read Microsoft’s product key guidance. If you do not recognise the activation, contact the seller with your order details.

Prepare a useful support request

Record the exact error message, operating system version, product name and failing step. A screenshot may help after you conceal the key, sign-in codes and personal information. These details are more useful than “it does not work” and reduce unnecessary repetition.

Before buying again, compare office software editions and check whether you already own the required usage rights. A subscription, a licence for a specific release and a business plan do not address the same needs.
